01. Scope and privacy contact
This policy explains personal information handling for ace-ic.com and component sourcing communications with ACE Components. It covers website inquiries, RFQs, BOM submissions, and related follow-up by email, phone, or messaging.
For privacy questions or requests, contact bill@ace-ic.com. Mention “Privacy request” in your message so we can identify the subject. Commercial BOM information can also be confidential even when it does not contain personal information.
02. Information you provide
- Contact details: name, business email, company, and any phone number or messaging details you provide.
- Sourcing requirements: part numbers, manufacturers, quantities, target delivery, date-code requirements, source preferences, and permitted alternatives.
- Files and links: BOMs, RFQ documents, images, specifications, and file-sharing links you choose to send. These can include names, comments, document metadata, or other personal information.
- Correspondence: questions, quotation discussions, order references, and information you provide during follow-up.
The shared RFQ form requires your name and email; other forms may mark additional fields as required. If essential contact or sourcing information is missing, we may be unable to respond or prepare a quotation. Do not include passwords, payment card details, or unrelated sensitive personal information.
03. Technical information and website resources
When you visit or submit an inquiry, the website and its submission system may process your IP address, browser information, referring page, request time, and submission source. This information supports website operation, inquiry handling, spam prevention, and troubleshooting.
The website loads DM Sans font resources from Google Fonts. Your browser connects to that service and can disclose technical request information, such as your IP address and browser details. Google’s privacy information is available in its Privacy Policy.
Your browser may store cookies or other site data used by website features. You can review and delete stored data in your browser settings and control whether cookies are accepted. Blocking storage can affect features that depend on it.
04. How information is used
- Respond to your questions and prepare component quotations.
- Review availability, sourcing options, shortage or end-of-life requirements, BOM costs, and alternative candidates.
- Clarify technical requirements and arrange agreed documentation, inspection, or testing.
- Process agreed orders, delivery communications, and quality concerns.
- Operate and protect the website, prevent abuse, and investigate submission problems.
- Maintain relevant business records and meet applicable legal obligations.
Submitting an RFQ requests a response about that inquiry. It is not a request to receive unrelated promotional messages. You can tell us if you no longer want follow-up on an inquiry.
05. Sourcing disclosures and service providers
Responding to a sourcing request can require sharing relevant part numbers, quantities, technical requirements, or selected file content with potential suppliers, manufacturers, inspection providers, or logistics partners. Limit the information in your submission to what is necessary for the request.
Personal information may also be processed by providers that support website hosting, technical maintenance, email, and business communications. Disclosure may be necessary to meet legal obligations or to protect lawful rights.
If a BOM includes customer names, project identifiers, or restricted technical material, remove those details where they are not needed. Contact us before submission if you require an NDA or restrictions on supplier disclosure.
06. Email, messaging and file-sharing services
If you contact us through WhatsApp, WeChat, or another external service, that service processes information under its own terms and privacy policy. This includes information you provide to the service and technical information it collects.
When you send a file-sharing link, check its access permissions and remove unrelated files from the shared location. Information you send through email or messaging becomes part of the relevant business correspondence.
External links and messaging services are separate from this website. Review their privacy information before sharing personal or confidential material.
07. Retention and protection
Retention depends on the purpose of the record, the status of the inquiry or order, applicable legal requirements, and any unresolved claim. Inquiry correspondence, order records, attachments, and technical logs can have different retention needs.
You can ask us about retention of a particular record or request deletion using the email address below. A deletion request may be subject to legal recordkeeping requirements and the need to resolve an existing transaction or dispute.
No website, email, or file transfer can guarantee absolute security. Share only the information needed for sourcing, and discuss an appropriate transfer method with us before sending restricted material.
08. International communications
Component sourcing can involve customers, suppliers, and communication services in different countries. Information exchanged for a request may therefore be processed outside your country.
Contact us before sending information if your organization has location restrictions or requires specific data transfer arrangements. Any applicable legal requirements for international transfers continue to apply.
09. Your choices and privacy requests
Depending on applicable law, you may have rights to access, correct, delete, or receive a copy of your personal information; restrict or object to certain processing; or withdraw consent where processing relies on consent. You may also have the right to complain to a competent data protection authority.
Email bill@ace-ic.com with enough detail to identify the information and your request. We may need proportionate information to verify your identity before disclosing or changing records. Do not send identity documents unless we request them through an appropriate channel.
We will handle requests in accordance with applicable law. Some information may need to be retained for an existing order, a legal obligation, or a claim.
10. Policy updates and contact
We may revise this policy as website features or information handling change. The date above identifies this version. Contact us if you need clarification about a submission or a previous communication.
